How wedding catering works on Oʻahu: service styles, what drives the price, venue rules, and the questions to ask before you sign.

Oahu Wedding Catering: Styles, Costs and Questions to Ask

Food is one of the biggest decisions in a wedding, and Oʻahu wedding catering comes with a few local wrinkles: outdoor venues with no kitchen, venues with their own catering rules, and a state tax that shows up at the bottom of every quote. This guide covers the service styles to choose from, what drives the price, what to ask your venue and your caterer, and the caterers listed on Hawaii Vendors.

Tax rates and rules can change. Confirm current details with your caterer and the official sources linked below. Last checked October 2026.

What catering styles can you choose from?

Start here, because the style you choose decides how many staff you need, what has to be rented, and how long dinner takes.

  • Buffet: Guests serve themselves from a line. It handles a range of appetites and dietary needs well, and it needs room for buffet tables. Kualoa Ranch Hawaii Catering, for example, lists buffet service of up to 90 minutes, with chefs, buffet equipment, setup, and breakdown included in its menu prices.

  • Plated: Courses are served to each guest at the table. It feels the most formal, takes more staff and a prep area, and usually means collecting entrée choices ahead of time.

  • Family style: Platters are set on each table and passed around. It is social and generous, and it needs table space for the dishes.

  • Stations: Separate tables for different dishes, often with a chef serving or carving. Guests move around instead of waiting in one line.

  • Heavy pūpū: Pūpū are appetizers. A heavy pūpū reception replaces the seated dinner with passed and stationed bites, which suits a shorter or more casual party.

  • Carts: Mobile carts add something to cocktail hour, dessert, or late night. Aloha Graze Co., for example, lists a charcuterie cart, an ice cream sundae cart, and an açaí cart for 50 to 200 guests.

Many couples build the menu around local food. Kālua pig, poke, lomi salmon, poi, and haupia are lūʻau staples, and a caterer who cooks them regularly can tell you how they hold up outdoors.

How much does wedding catering cost on Oʻahu?

There is no single price, and a number without your guest count and venue attached to it won’t help you plan. These are the things that move a quote up or down:

  • Guest count and service style. Plated and stationed meals need more staff than a buffet.

  • What the venue provides. A site with no kitchen, power, or water means the caterer brings more equipment.

  • Rentals. Tables, linens, plates, glassware, and utensils may be included or quoted separately. Kualoa Ranch Hawaii Catering, for example, includes buffet tables and white buffet linen but not guest table linen.

  • Bar service. Drinks and bartenders are often a separate quote, sometimes from a separate company.

  • Hours. A longer event means more staff time.

A few listings on Hawaii Vendors publish numbers. Aloha Graze Co. lists its carts starting at $650 for the ice cream sundae cart, $700 for the açaí cart, and $750 for the charcuterie cart. Kualoa Ranch Hawaii Catering lists menu tastings at $75 per person plus an 18% service fee and 4.712% tax, with the $75 credited if you book them. Honolulu Bartending Company lists itself in the $$$ price range. The other businesses below quote by event.

What gets added to the food price?

Two lines at the bottom of a quote surprise couples who are planning from the mainland.

Tax. Hawaii has a general excise tax instead of a sales tax. Businesses are allowed to pass it on to customers, and on Oʻahu the most they can pass on is 4.712%, according to the Hawaii Department of Taxation. Most quotes show it as its own line.

Service charge. Many quotes add a percentage for service. Under Hawaii law, a hotel or restaurant that adds a service charge for food or beverage must either pay it to its service staff as tips or clearly tell you it is being used for something else. With any caterer, ask what the service charge covers and whether gratuity is separate.

The simplest fix is to ask every caterer for a total that includes both. You can describe your wedding once and hear back from several vendors through Get Quotes.

What should you ask your venue first?

Your venue decides what a caterer can do on site, so settle these before you book food:

  • Who is allowed to cater? Some venues have in-house catering or a list of preferred caterers. Kualoa Ranch, for example, has its own catering team that prepares food on the property. Venue pages on Hawaii Vendors show each venue’s preferred vendors.

  • What is on site? Ask about a kitchen or prep area, power, water, shade, and where a caterer can set up and park.

  • Who handles the bar? Alcohol rules vary by venue. Ask whether the caterer, a separate bar service, or the venue runs the bar, and whether you can supply your own alcohol.

  • What are the load-in, end, and cleanup times? Ask who removes the trash at the end of the night.

10 questions to ask a caterer before you book

  1. Have you worked at our venue, and what do you need from it?

  2. Which service style do you recommend for our guest count and timeline?

  3. What is included in the per-person price: staff, setup, breakdown, buffet equipment, linens, plates, and utensils?

  4. What are the service charge and tax, and is gratuity separate?

  5. Do you offer a tasting, what does it cost, and is it credited if we book?

  6. How do you handle dietary needs and allergies?

  7. Do you cook on site or deliver, and how is food kept at a safe temperature outdoors?

  8. Which permitted kitchen do you cook from?

  9. Who runs the bar, and can we supply our own alcohol?

  10. What is the deposit, when is the final guest count due, and what happens if our date or count changes?

On question 8: food businesses in Hawaii, caterers included, operate under a permit from the state Department of Health, and inspection results are public. The Department of Health’s Food Safety Branch links to its inspection lookup.

How to compare your quotes

Send each caterer the same details: your date, venue, guest count, the service style you want, and your dinner time. Ask for a total that includes staff, rentals, service charge, and tax. Then compare what is included, not just the per-person price. A lower number that leaves out staff or rentals is not the cheaper quote.

You can browse every Hawaii wedding caterer on Hawaii Vendors, see who handles drinks on the bar services page, or read our guide to getting a Hawaii marriage license if you’re still working through the legal side.

Frequently asked questions

Is tax included in a Hawaii catering quote?
Usually it is a separate line. Hawaii has a general excise tax instead of a sales tax, and on Oʻahu businesses can pass on up to 4.712%. Ask each caterer for a total that includes tax and any service charge.
What is a service charge on a catering quote?
It is a percentage added to the food and beverage total. Hawaii law requires a hotel or restaurant that adds one to either pay it to service staff as tips or clearly disclose that it is used for other costs. Ask any caterer what theirs covers and whether gratuity is separate.
Can we use any caterer at our Oahu wedding venue?
It depends on the venue. Some have in-house catering or a preferred list, and others let you bring your own caterer. Ask the venue before you book food.
Do Oahu wedding caterers offer tastings?
Many do, sometimes for a fee. Kualoa Ranch Hawaii Catering, for example, lists tastings at $75 per person plus a service fee and tax, with the $75 credited if you book them.
When should we book a wedding caterer on Oahu?
Book once your venue and date are confirmed, because the venue decides what a caterer can do on site. Start asking for quotes as soon as you have a guest count estimate.
